What types of student records does the RTO need to retain and for how long?
The Conditions of Registration, contained in the AQTF Essential Conditions
and Standards for Initial Registration; and the AQTF Essential Conditions and
Standards for Continuing Registration, specify the duration and types of records
to be maintained for students.
Records of results must be retained for a period of 30 years and this benchmark is also reflected in state and territory laws. Records may be retained on either a computerised or a manual system.
For example, there would be a record held against a student's name of each unit of competency and that student's achievement in that competency - eg ‘competent’ or ‘not competent’ and a record of whether they were issued with a qualification.
The rationale behind this is to assure consumers of training that the RTO has enough evidence to re-issue a qualification if it is lost.
